ITS World Congress Montreal Chair Claude Carette and ITS World Congress Montreal Treasurer Pat McGowan Announce the Formation of New ITS World Congress Working Committee’s.

The ITS World Congress Montreal Organizing Committee is being expanded to include several new committees which will organize, manage and execute on site various elements of the World Congress.

The World Congress Montreal takes place in Montreal, Canada October 29 – November 2, 2017 at the Palais des congres. The addition of new working Committees provides an excellent opportunity for dedicated volunteers to provide subject matter expertise and knowledge creation, network with peers, and contribute substantively to the success of the ITS World Congress in Montreal.

Each of these new working committees will become a member of the World Congress Organizing Committee. Committees already at work include the Demos Committee Chaired by Mike Freitas, the Exhibit Advisory Committee Chaired by Bill Sowell, the International Programs Committee Chaired by Steve Dellenback, the Local Arrangements Committee chaired by Michael DeSantis, the Operations Committee, chaired by Bill Russell, the Smart Cities Pavilion Committee Chaired by John Barton and the Sponsors/Partners Committee Chaired by Bill Malkes.

COMMITTEE CHAIRS & VOLUNTEERS are needed to perform the duties as described below. This is entirely a volunteer-driven opportunity and participants will report directly to and work directly with the Organizing Committee. Organizing Committee calls are held every Friday from 12:30-1:30 p.m. ET. Individual Committees determine their own meeting schedules. Committee Chairs will be responsible for recruiting their respective Committee volunteers.

Note: In order to participate on a Committee, chairs and volunteers must be prepared to attend and to work according to the Committee’s execution plan at the World Congress as a paid registrant. All expenses related to participating on a Committee and attending the World Congress are the responsibility of the chair and volunteer.

The new ITS World Congress Organizing Committee Opportunities are:

Awards Committee

  • This Committee shall be responsible for developing, managing, operating and executing at the ITS World Congress the ITS International and ITS America awards program including the World Congress Hall of Fame Awards, the ITS America Hall of Fame Awards, the ITS America State Chapters Awards, and the Best of ITS Awards (to be defined by the Committee.) This Committee shall be responsible for all criteria, including a call for nominations and how final awardees will be selected, for these awards and will work with the appropriate Committees to schedule when and where the awards will be presented. This Committee shall create a post Congress report, including lessons learned and improvements for the future.

Business to Business (B2B) Committee

  • The B2B event is intended to allow small businesses to pitch larger corporations potential opportunities or relationships. This Committee shall be responsible for developing, managing, operating and executing at the ITS World Congress a B2B program to be held on Thursday, November 2nd at The Palais des congres. This Committee shall be responsible for all communications in advance and onsite with B2B participants and will manage the overall schedule for this program including assigning times and participants to ensure that the overall schedule is monitored and adhered to for efficient program flow and management. This Committee shall create a post Congress report, including lessons learned and improvements for the future.

Exhibit Hall Posters Committee

  • This Committee shall be responsible for developing, managing, operating and executing at the ITS World Congress an exhibit hall posters program. This program will be populated with technical papers as determined by the IPC. This committee shall be responsible for slotting, scheduling, assigning and communicating with those presenters in advance and onsite. This Committee shall create a post Congress report, including lessons learned and improvements for the future.   There is no budget line for this Committee. .

ITS Nationals Meeting Committee (volunteers needed)

  • David Cummings is Chair of this Committee but is in need of volunteers. This Committee shall be responsible for working with ERTICO and ITS Asia Pacific in developing, managing, operating and executing at the ITS World Congress the ITS Nationals Meeting which will be held on Wednesday, November 1. This Committee shall be responsible for all communications in advance and onsite with ITS Nationals representatives and will manage the overall schedule for this program including assigning times and participants to ensure that the overall schedule is monitored and adhered to for efficient program flow and management. This Committee shall create a post Congress report, including lessons learned and improvements for the future. .

Opening and Closing Ceremony Committee

  • This Committee shall be responsible for developing, managing and executing the ITS World Congress Montreal Opening and Closing Ceremonies to take place Monday, October 30th for one hour and Thursday, November 2nd for 90 minutes. The Committee shall be responsible for developing, managing, operating and executing at the ITS World Congress the overall Opening and Closing event show flow to include, but not limited to, the overall timing, program flow, and determining criteria for and selection of speakers/presenters. This Committee shall also be responsible for slotting, scheduling, assigning and communicating with presenters in advance and onsite. This Committee must adhere to a timeline for speaker confirmation in order to further marketing efforts and help drive registration revenue. This Committee shall also have an Entertainment Sub-Committee to determine if/what entertainment reflecting Montreal/Canada can be provided on a complimentary basis. This Committee shall create a post Congress report, including lessons learned and improvements for the future. The budget for production for these two events will be shared with the Committee.

Plenary Committee

  • This Committee shall be responsible for developing, managing, operating and executing at the ITS World Congress three (3), one (1) hour ITS World Congress Plenary Sessions to take place Tuesday, October 31st, Wednesday, November 1st and Thursday, November 2nd. The Committee shall be responsible for developing and executing each session’s “event” show flow to include, but not limited to, the overall timing, program flow, and determining criteria for and selection of speakers/presenters. This Committee shall also be responsible for slotting, scheduling, assigning and communicating with those presenters in advance and onsite. This Committee must adhere to a timeline for speaker confirmation in order to further marketing efforts and help drive registration revenue. This Committee shall create a post Congress report, including lessons learned and improvements for the future. The budget for production will be shared with the Committee.

Procurement Day Committee

  • This Committee shall be responsible for developing, managing,operating and executing at the ITS World Congress a procurement day program, allowing government agencies to present upcoming procurement opportunities, to be held on Thursday, November 2nd. This Committee be responsible for all communications in advance and onsite with procurement day participants and will manage the overall schedule for this program including assigning times and participants to ensure that the overall schedule is monitored and adhered to for efficient program flow and management. This Committee shall create a post Congress report, including lessons learned and improvements for the future.

VIP Dinner Committee

  • This Committee shall be responsible for developing, managing,operating and executing at the ITS World Congress the ITS World Congress VIP Dinner. The Committee shall work with the Local Arrangements Committee to determine an off site (not at The Palais des congres) venue that must be provided on a complimentary basis and within close proximity to the Palais in order to minimize/eliminate transportation costs. The Committee is responsible for developing and executing the overall “event” flow for the dinner to include, but not limited to, the overall timing, program flow, and speakers/presenters. This Committee shall create a post Congress report, including lessons learned and improvements for the future.
